Welcome to the DHRS Web Input and Document Browse CBL

The Web based Departmental Human Resources System (DHRS) is the University's computerized repository and update mechanism for all data relating to employees and positions. This includes basic demographic information, deductions, benefits, payroll and tax data, and employment history showing all activity for each employee.

 

Objectives

This module examines the Input and Document Browse processes. At the conclusion of this module, learners will be able to:

  1. Locate the Document Submission menu to input documents in DHRS Web.
  2. Browse Documents by Employee.
  3. Browse Documents by Department.

Navigating the Module

This section will introduce you to the course layout and terminology. The first part will show you how to use this course. In order to view this course, you must allow pop-ups. Usually, clicking on the yellow message bar that appears on the top of your screen is enough to allow pop-ups.

Each lesson will be divided into pages. On the right side of the page a sidebar may appear (the area in blue in the graphic). A table of contents can be displayed to show all of the pages for a lesson (the area in red in the graphic). Page navigation—moving from one page to any other—is accomplished by pointing to the Page Navigation bar (the area in green in the graphic) and clicking on a page number. When you point to a page number, you will see the title for the page.

Pop-Up Text - Within the lesson, you will notice some of the text is boldfaced. This will indicate that there is additional information hidden behind the text. You will be able to display the hidden text by pointing to the boldfaced text. At the end of this sentence, there is an example of a Pop-Up Text window that is displayed by pointing to the boldfaced word WHY. When the pointer is moved off the boldfaced text, the Pop-Up disappears. You can try this by pointing to the boldfaced word "why" in this paragraph.

 

Sidebars - The sidebars are located on the right side of the window. Here you can learn more about a specific topic or link to additional resources.

 

Input Access in DHRS

Input access allows departments to enter and/or change employment data on-line for employees within specified departments. Each transaction (such as a new hire, promotion, or termination) is considered a document. Data entered for a particular transaction forms a "document" when initially entered into DHRS, but DHRS is not immediately updated. When the document is completed, it is submitted through an approval process, which can be uniquely designed for each department and/or division.

 

Document Submission

To begin the document submission process, access the Document Submission Tab by:

  1. Selecting the Document Submission Tab
  2. Selecting the appropriate document to process:
  • Account Change 
  • Additive Pay
  • Add Person
  • Birthday Change
  • Department Number Change
  • Job Code/Status Change
  • Layoffs
  • Leave of Absence
  • Move – Different Department
  • Move – Same Department
  • Move - Same Department Faculty to Faculty Only
  • New Hire/Rehire/Reassign
  • Pay/Distribution Correction
  • Position Update
  • Returns (Leave of Absence, Layoff, etc)
  • Sabbatical
  • Salary Change/Corrections
  • Separation
  • Visa/Marital Status

Browse Documents by Employee

1. Access the Document Submission Tab and select Browse Documents by Employee.

2. Input the employee's UM ID number (C#) or click on Employee Search (to search by name if you don't know the UM ID number). Click on Search.

3. The document(s) submitted for the employee selected will appear. By using this feature, you will be able to check the document's status as well as view the document.

Browse Documents by Department

1. Access the Document Submission Tab and select Browse Documents by Department.

2. Enter the Department Number using the Drop Down Menu.

3. To narrow the results, you can select:

  • Sub Department Number
  • Job Code
  • Approval Status

Click on Search.
